Instructions to Submit a Pre-Recorded Presentation – Scientific Session

Submit your pre-recorded presentation by Wednesday, October 8.

Thank you for preparing an 8-minute presentation for the ASTMH Annual Meeting, to be held November 9-13, 2025 at the Metro Toronto Convention Centre.


As a reminder, given the presentation options available for oral abstract presentations, there should be no reason for unexpected presenter absences.
 
If you are unable to attend the meeting in person….
 
If you are unable to attend the Annual Meeting in person, you have the option to submit an 8-minute pre-recorded presentation as an .mp4 file by Wednesday, October 8. Please note that only in-person presenters can participate in the Question and Answer Period.
 
If you do not submit a pre-recorded presentation by Wednesday, October 8, we assume that you will make an in-person presentation in Toronto.
 
Follow these instructions to submit your pre-recorded presentation by Wednesday, October 8.
 
Step One:  Register for the Annual Meeting
 
 
The Livestream Registration option will provide access to approximately 20 livestreamed sessions.
Presenters are required to provide their Registration Order Number in the file name of the pre-recorded presentation.
Your registration will be verified by the Registration Validation Portal before access is granted to submit your recording to the Presentation Submission Portal.
 
Step Two:  Save Your Pre-Recorded Presentation as an .mp4 (video) file
 
You must submit your pre-recorded presentation as an mp4 (video) file.
 
Step Three:  File Name for Pre-Recorded Presentation
 
Your file name must include:
Your Session Number (the Session Number appears at the top of the email you received)
Your New Abstract Presentation Number (the New Abstract Presentation Number appears at the top of the email you received)
Your First Name (Given Name) and Last Name (Family Name)
The First Name and Last Name you provide in the file name must match the presenter’s name provided at the top of the email you received. 
Your Registration Order Number (this number can be found on your registration confirmation letter)
It is EXTREMELY important for your file name to include the correct information for Session Number, New Abstract Presentation Number, First Name/Last Name and Registration Order Number. Inaccurate information in your file name could lead to a processing error.
 
Here is an example of a file name:
ASTMH5-#6000-SusanSmith-Order585730.mp4
 
Step Four:  Submit your file to the Presentation Submission Portal
