If you are unable to attend the meeting in person….
 
If you are unable to attend the Annual Meeting in person, you have the option to submit a pre-recorded presentation by Wednesday, October 16. Please note that only those presenters attending the Annual Meeting in-person in New Orleans can participate in the Question and Answer Period.
 
If you do not submit a pre-recorded presentation by Wednesday, October 16, we assume that you will travel to New Orleans to attend the Annual Meeting in person and make an in-person presentation.
 
If you are unable to attend the Annual Meeting in person, submit your pre-recorded presentation as an .mp4 file (video- and audio-recording with PowerPoint slides).
 
  • Each oral abstract is allotted a 10-minute presentation timeframe.
  • Use this link to view detailed instructions for pre-recording your presentation using Zoom software. 
  • The submission deadline for your pre-recorded presentation is Wednesday, October 16. 
 
Attending the meeting in person?
 
If you plan to attend the meeting in person in New Orleans, download these instructions for preparing your PowerPoint slides. Submit your slides to the Speaker Ready Room at the New Orleans Ernest N. Morial Convention Center 24 hours prior to your in-person presentation.

Presenting Author Change 
 
We recognize in very extreme circumstances there might be a need to replace an abstract presenter. Since the 2024 Annual Meeting provides a pre-recorded presentation option for speakers who cannot present in person, a change to the presenting author will be very rare. 
 
To request authorization for a presenter change, contact [email protected] by Thursday, September 26. The authorization involves a financial disclosure form required by the Accreditation Council for Continuing Medical Education (ACCME). This form will be reviewed by the Scientific Program Committee. Only authorized presenters will be able to submit a presentation for the meeting.
 
Register for the Annual Meeting
 
All abstract presenters must register for the Annual Meeting and pay the registration fee in order to make their presentation. The registration fee is separate from the abstract submission fee.
 
If you plan to attend the meeting in person…
You can pre-register before the meeting using this link. Register by September 30 for discounted registration rates.
 
If you are unable to attend in person…
You can register for the Livestream Portal registration option. This registration option will provide access to approximately 20 livestreamed sessions.
Your registration will be verified by the Registration Portal before access is granted to the Presentation Submission Portal. 
 
Important Note about Livestream Portal Registration Option
This registration option will provide access to approximately 20 livestreamed sessions via the Livestream Portal. This Livestream Portal will not feature In-Person-Only sessions. 
If your abstract has been assigned to an In-Person-Only Scientific Session, you will not be able to view your session on the Livestream Portal.
 
Very Important - Authorization for Distribution of Presentation

By making a presentation at the Annual Meeting, you as the presenter give permission for the American Society of Tropical Medicine and Hygiene, its agents and representatives to either:
 
• Audio-record and video-record and produce on-demand Webcasts of your abstract presentation (for Livestream Sessions)
• Make the slides for your abstract presentation available on request in the form of a PDF file (for Livestream Sessions and In-Person-Only Sessions)
• The format of media distribution will be determined by the session format (Livestream or In-Person-Only)
 
You grant ASTMH a nonexclusive, royalty-free license to distribute those electronic media, and to use the material they contain, including any materials you choose to provide, for any lawful purpose, including publication in a conference proceedings, event app, sales to members and the general public, and/or distribution via the Internet.

Approximately one month before the Annual Meeting, search the Annual Meeting Mobile App to view full information on sessions, presenters and abstracts. Watch your email for announcements.
