Remote Zoom Presentation Instructions: Livestreamed Symposium Sessions

Timeline and Action Items

  • By September 21: Register for the Annual Meeting at discounted registration rates.
  • Week of October 3: Speakers will receive an email with instructions and a link to the Presentation Submission Portal.
  • October 12: Speakers who are unable to attend the Annual Meeting in person will submit slides for a remote Zoom presentation to the Presentation Submission Portal.

Attending the meeting in person?
If you plan to attend the meeting in person in Seattle, download these instructions for preparing your PowerPoint slides. Submit your slides to the Speaker Ready Room at the Seattle Convention Center approximately 24 hours prior to your in-person presentation.

Remote Zoom Presentations 
Slides for remote Zoom presentations must be submitted to the Presentation Submission Portal by October 12. Click here for instructions to prepare slides for a Remote-Zoom presentation.

During the week of October 3, speakers will receive an email with instructions and a link to the Presentation Submission Portal. The Symposium Organizer is responsible for ensuring that all symposium participants who are unable to attend the Annual Meeting in person will submit slides for a remote Zoom presentation by October 12. 
 
The first slide of each presentation must include the following information:
  • Your presentation title. This title should match exactly to the presentation title provided by the Symposium Organizer in the symposium submission site.
  • Your first name and last name. 

IMPORTANT: If speakers do not submit slides for a remote Zoom presentation by the October 12 deadline, we assume they will make an in-person presentation in Seattle. 

 
Presentation Submission Portal and Speaker Registration
During the week of October 3, speakers will receive an email with instructions and a link to the Presentation Submission Portal.

Speakers MUST REGISTER for the Annual Meeting in order to upload slides for a Remote-Zoom presentation in the Presentation Submission Portal.
  • A registration order ID number will be required in order to submit slides for a Remote-Zoom presentation.
  • A registration order ID number can be found on the registration confirmation letter.

Registration requirements: 
  • Symposium Organizers and Co-Chairs must pay the full registration fee. 
  • Speakers who are ASTMH members can take advantage of a special discounted rate (25% off posted member rates). 
    • In order to take advantage of the 25% off discount, your member speakers will need to use a coupon code at the time of registration. This code has already been distributed. 
  • Each symposium will receive one complimentary Annual Meeting registration to be used by a symposium speaker who is not an ASTMH member. This person has already been informed.   
    • All other non-member speakers will pay the full registration fee.

If you are unable to attend in person…
  • You will need to register for the Livestream Registration option.
  • This Livestream Registration option will provide access to approximately 50 livestreamed sessions and the ePoster Hall Gallery via the Livestream Portal. This Livestream Portal will not feature In-Person-Only sessions.

Permission for Use of Presentation for On-Demand Access
After the session, the symposium presentations will be available for On-Demand access. Registered attendees will have access to the 2022 Annual Meeting presentations through October 1, 2023.
 
By submitting a symposium proposal, the Symposium Organizer has given permission for ASTMH to produce On-Demand audio/video-recordings of all presentations in this symposium.
 
  
Discussion and Question and Answer (Q&A) 
Prior to the Annual Meeting, detailed instructions for the Q&A will be sent to the Symposium Organizer, who is responsible for distributing the information to the Co-Chair and speakers.

As Symposium Organizer, you and the Co-Chair (if applicable) will moderate the session and facilitate questions from the audience.
  • All symposium participants will be able to participate in Q&A.
  • You will responsible for managing both in-person and online audience questions. You will be able to access the online questions via a provided laptop in the session room.
